WHY is the successor to MCH, SHA, OHM, etc.

Tips:

  • Don't let yourself get surprised by the weather, always pack for expected weather circumstances.
  • Check the weather report regularly from at least a few weeks in advance until right up to your departure and change accordingly.
  • A tarp is useful whether it rains or shines! ;)

We meet in jitsi on the first sunday of every month at 21:00 German Standard Time until April 2025.
There will be bi-weekly (once every two weeks) meetings in April, May and June.
There will be weekly meetings in July and Aug.
There will be daily meetings during WHY.

We are looking for:

  • one or two more Archangels
    • Organize volunteers in/around our village (and possibly stage)
    • Link up with WHY orga Volunteer Team

    • Truck from Weeze to WHY
    • Loading \ Unloading
    • Perhaps local pickup/dropoff of groceries/materials if scheduled delivery unavailable
  • Buildup team (optional: Mgr)
    • Be onsite, from latest Day 0 - Thurs 7th Aug (prefer Day -2 Tues 5th), helping with Milliways buildup (Dome, Kitchen, Rummery, etc)
    • Understand what needs to be built, where and how.
    • Help unload Storage truck
  • Teardown team
    • Be onsite, until latest Day 6 - Wed 13th Aug, helping with Milliways teardown (Dome, Kitchen, Rummery, etc)
    • Understand what needs to be packed up, where and how.
    • Make sure everything packed is at least clean (can't promise dry, that is weather dependent)
    • Help load storage truck

  • Social Media Manager (hanemile might claim this as part of the infodesk if nobody else does)

Kitchen

  • Manager needed

The difference in having our own dedicated dishwashing station (at at least, access to freshwater and waste through rotating IBCs or similar) at CCCamp23 vs using public facilities at EMF was apparant and frustrating to all. We hold up the dishwashing queue for individuals, families and smaller villages which is not a great experience and we can't efficiently or correctly clean our equipment because of lack of space, warm water etc. It would be great if we could have our own dedicated space at WHY 2025.

Instead of relying on volunteer kitchen managers, our idea is to have a professional Chef/Cook/Kitchen Manager paid by Milliways to head up the Kitchen. We then need to look for a Milliways Kitchen Manager accustomed to organizing volunteers and other hackercamp event stuff to liasie between our kitchen, our archangels and event.

From an online perspective, it would be nice to have "The Internet" accessible from within the infodesk. Though most information on site is consumed via black or whiteboards.

Setup: the ccc-camp style "hut" was amazing, having a roof against rain and sun is essential.

Curfew

  • Curfew is 23:00. This is driven by location permit.
  • Party area will switch to a camp-wide silent disco at 23:00.
  • PL don't wanna play police through team safety. Overshooting 23:00 by 10-15mins ok, fine but don't test the limits.
    • There's no real measurable "This is loud/This is quiet" level
      • (As then you get into - how is this measured, from what distance, in which direction, with which equipment)
    • So it's gonna be a vibe check.
      • Please demonstrate excellence and work towards finishing your set around 23:00 with margin for error.
    • Note that the wiki says no LOUD music so the implication is that some music is fine.

Planning

Rules: if it's a list it means nothing. If it's a table it means we ordered this/it's coming/it's confirmed.

Here is the idea for the dome/music:

  • we take the Dome
  • we put the lights, music and fog machines in it
  • maybe some seating on the sides
  • we add camo nets and fake plants hanging from the dome
  • we end up with a jungle music dome
  • we need jungle dome [I'm afraid]

What we have and MAY bring, needs coordinating:

  • ✅ Main mixer: X32 digital mixer with 16 XLR preamp (very kindly provided by Infinity553)
  • Long XLR balanced cables to connect mixer to sound system (need to check if they’re included with the sound system)
  • DJ controller with XLR cables 3m

  • ✅ Cable protection (ramps or tape): cables can simply be attached to the dome so they won't be on the ground
  • Large table for gear and mixer (ideally supports two setups, for smooth switches)
  • ✅ Sun cover for daytime sets, if any are planned: big white tarp for the dome (Weeze Storage)
  • ✅ Emergency rain cover, quick to deploy: big white tarp for the dome (Weeze Storage)
  • Power strip and enough power supplies, with extra outlets on table (separate from sound system)
  • Audio backup (e.g. USB with preloaded set — chrome'll handle it)
  • Separate surface for DMX/lights/FX gear
  • ✅ Power supply for lights and effects: a lot of power cables and power strips will come from storage
  • For the music console location: If the mixer<>system XLR cables are long enough (about 15m?), we could place the console in front of the speakers, behind the crowd. This would remove the need for monitors and improve mixing quality. We can decide on site.

We can not improvise any serious woodworking on-site at little to no notice.

Getting the right volunteers in the right places at the right times has proved challenging in the past, which creates absolute chaos.
Chaos is fine and all every now and again and certainly, it's to be expected at these events, but; in the one area we are known for, the one area we strive to deliver properly, our wonderful kitchen that provides delicious food by hardworking volunteers - is suffering due to this chaos.

How can we make this better?

  • With our own heaven using something like the Engelsystem? other ideas?
  • Perhaps we can even link into and use or have volunteer shifts available in WHY's volunteer system for kitchen and - if we do our own stage - the heralding etc?
  • Have a big whiteboard / blackboard into which people can add themselves. Pro: is super present and people can directly see what is still needed, best even if it's in the queue for the kitchen, so people can see the current status and spontaneously add themselves.
